Choosing a Hotel Management System in Saudi Arabia

Tourism targets have put a great deal of new supply into the Kingdom, much of it run by operators choosing their first real property management system. The demos all look alike: a colourful room plan, a booking screen, a dashboard. The differences only appear once the property is full.

Ask what happens when two bookings collide

A double booking is the worst thing a hotel system can produce, because the cost is a guest standing at your desk at midnight. The answer you want is that room state, rate and availability are one record that the desk, housekeeping and the channel feed all read — not three systems reconciled on a schedule.

  • How quickly does availability reach the channels you actually sell on?
  • Can the night audit run while the desk is still checking people in?
  • Do restaurant and minibar charges post to the room automatically?
  • Is the guest-facing side really Arabic, or English with translated labels?
  • Do folios become ZATCA-compliant invoices without a second system?

Arabic is not a translation layer

A guest portal that reads right to left properly, prints an Arabic name on the folio without mangling it, and sends a confirmation message a Saudi guest can read is a different piece of software from one where the labels were translated at the end. Check it on a phone, in Arabic, before you sign anything.

Housekeeping is the module that decides whether staff use the system. If a room is not marked ready on the housekeeper's phone within seconds, the desk goes back to the phone call.

One property first

Even a group should go live one property at a time, with the vendor present for the first arrivals day. What you learn on the first property changes the configuration for all the others, and discovering it simultaneously across six buildings is not a saving.

Two to six weeks is a realistic range from contract to first check-in for a single property, assuming rates and forward bookings are ready to import. Anyone promising less has not asked about your channels yet.
